JOB TITLE - Support Services Manager

GENERAL SUMMARY OF DUTIES - Directs and coordinates activities of employees engaged in collections customer service activities and personally problem, and delinquent accounts of customers by performing the following duties personally or through subordinates. Credit Balances

SUPERVISOR - Reports to AR Director

SUPERVISORY RESPONSIBILITIES - Directly supervises 6 - 10 employees in the Support Service Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

DUTIES INCLUDE BUT ARE NOT LIMITED TO:
1. Manages patient correspondence through the effective management of staff. Assigns/directs work flow to ensure that all incoming patient phone calls and written patient correspondence are handled in an effective and efficient manner.
2. Thoroughly documents coding and registration issues identified through outside correspondence. Communicates/reports findings to CBO management and practice management staff and assists in the development and implementation of action plans designed to resolve identified issues.
3. Oversees document control efforts ensuring the effective maintenance and filing of reimbursement documentation (i.e., EOBs), financial reports, patient and third party correspondence, etc.
4. Responsible for overseeing the mail handling process – including receipt of all CBO mail, sorting of payment documents from non-payment documents, batching payment documents for receipt entry.
5. Maintains established CPS and collection departmental policies and procedures, objectives, & patient/customer service standards and quality.
6. Provides training to subordinates regarding CPS policies, guidelines, goals, objectives and operating standards.
7. Assists workers with questions, concerns, and problems regarding patients, medical office personnel, and payers.
8. Establishes good working relationships with individuals at payer organizations, physician practices and other company departments.
9. Reports to AR Managers and CBO Director any trends that could be causing nonpayment of services as detected during the correspondence, financial counseling and credit balance resolution processes.
10. Supervises the clerical support staff and assigns clerical support to appropriate departments as requested by departmental management.
11. Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement”.

KNOWLEDGE, SKILLS AND ABILITIES – This position requires the following minimum requirements:
1. Knowledge of medical billing and collection practices
2. Basic knowledge of medical procedure coding
3. General knowledge and understanding of the insurance industry
4. Knowledge of the government, legal and regulatory provisions related to collection activities
5. Must be able to work well with others; maintain a professional and courteous disposition
6. Ability to be firm, professional and pleasant with patients when settling accounts
7. Skill in managing relationships with customers, associates, and co-workers
8. Must demonstrate the ability to supervise subordinates effectively
9. Ability to deal with deadlines and stressful situations where rapid, accurate performance is required

EDUCATION and/or EXPERIENCE
Associate's degree (A. A.) or equivalent from two-year college or technical school; and three to five years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, basic statistics and percentages. Ability to prepare reports and perform analysis of business data.

REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
